Follow the instructions below to utilize Notary Panels for your Stavvy meetings
Inviting a Notary Panel to a meeting
- During the meeting creation, click "Add external notary"
- Enter the Notary Panel email address
- Make sure to copy and paste from your notary panel list to mitigate error
- Confirm the email address was entered correctly by checking the External Notary name
NOTE: If the Notary Panel name is incorrect you can click the X next to the External Notary name to start over or click Update external notary + to the right.
- Once the meeting has been created the signers and Notary Panel will receive an email notification.
- You will see the Notary Panel listed as the notary for the meeting. See example below. You will not be notified when the notary has been reassigned.
Be sure to have the Notary Panel let you know once a notary has been assigned.
- To check for updates to the transaction at a later date: From the Meetings home page, click the My Meetings drop-down and Select All to find the transaction. Click on the desired transaction to access the Meeting Details page.
Steps Taken by Notary Panel
Reassigning the notary
- Once you receive the invitation email for the transaction do not click on the "Join" button, login to Stavvy via: connect.stavvy.com to review the transaction.
- Clicking join will take you to the meeting, which you are not ready to do
- Click the meeting in question to access the details page to make changes.
- Click on the three dots beside the listed notary, click, "Reassign"
- Select the desired notary within the organization from the dropdown
- When the transaction is reassigned, the Notary Panel and signers will receive emails.
- Once the transaction has been reassigned, it will no longer be viewable in the Notary Panels' account. Only the assigned notary and title company will have access.
The title company does not receive an email, please have the Notary Panel notify the title company once the transaction has been reassigned.
- Once the new notary has been assigned they will receive an email notification.
- Have the notary login to Stavvy via connect.stavvy.com to confirm they have the transaction. NOTE: Clicking join in the email notification will take the notary directly into the meeting which you are not ready to do yet!
- They can review all the meeting details and documents to familiarize themselves prior to the RON signing.

Tips for Successful Transactions with Notary Panels
- Ensure the notary has the number to title office so they are able to reach out if the customer has questions they are not authorized to answer.
- For question during the closing
- Once transactions is complete and there are certified docs etc.
- Notaries who have completed their Notary Profile and have been approved will have a green stamp beside their name
- The notary and notary panel cannot reschedule a meeting
- Any rescheduling must go through the title company
- The notary can reassign the transaction to anyone, at the request of the Notary Panel
- The title company can only reassign to the notary panel
- Any rescheduling must go through the title company
- Neither the Notary Panel nor Notary can access the meeting from the email invitation "Join" button.
- They will need to sign into their Stavvy account via https://connect.stavvy.com/meetings
- The signer will be notified when the notary is reassigned, they can join the meeting from any email invite sent for that transaction
- Most importantly, be sure to maintain an open line of communication with the Notary Panel
