This guide outlines the steps for a Notary or Host to quickly and seamlessly edit or adjust annotations (fields, tags, etc.) on documents during an active In-Person Electronic Notarization (IPEN) signing meeting.
Real-Time Annotation Editing Procedure
Follow these steps to make necessary annotation adjustments without interrupting the live signing flow:
- Open the Meeting Details Page: While keeping the live IPEN meeting open in its current browser tab, click the other Stavvy tab where you initially clicked "Join Meeting".
- Access the Document Annotator:
- On the Meeting Details page, select the Documents tab.
- From the available options, select View and Annotate from the dropdown menu.
- Initiate Editing Mode:
- Once the document viewer loads, click the Make Changes button, located in the top-right corner. This unlocks the document for editing.

- Adjust Annotations:
- Make all necessary adjustments to the annotations (e.g., moving fields, adding or deleting tags, or correcting placement).
- Save and Confirm Changes:
- After completing your edits, you must click the Mark Ready to Sign button. This action saves the changes and pushes the updated annotations back to the live meeting interface.

- Verify in the Meeting:
- Click back to the live Meeting tab. You will see that the document in the signer's view has been updated in real-time with the changes you just saved.
- Continue the Meeting:
- Proceed with the signing meeting as normal, starting from the point where the changes were introduced.

- This process allows you to fix mistakes or make minor adjustments without ending and restarting the meeting.
- Ensure you always click Mark Ready to Sign to successfully save and publish the changes to the live session.
