Question
I have a Signer who is acting in a specific capacity (such as a Trustee, Executor, or Agent under a Power of Attorney). The required designation added to the signature line is too long. What can I do to shorten it?
Answer: Use a Separate Text Field for the Designation
To keep the signature clean and within the designated area while clearly documenting the signer's capacity, use the standard Signature Field for the signer's actual signature and a separate, non-interactive Text Field to indicate the official capacity.
🛠️ Step-by-Step Instructions
Follow these steps when preparing the document for a signer acting in a representative capacity (e.g., Trustee, Executor, Power of Attorney Agent):
Place the Signature Field
Drag and drop the Signature Field (or equivalent signature annotation) onto the document where the person will sign.
Configure the Designation Text Field
- Drag and drop a Text Field annotation immediately next to the Signature Field you just placed.
- Click on the annotation and then click the gear icon
- Click on the pencil icon to input the required text.
- Type the designation clearly. Use the format: [Capacity] for [Entity/Principal Name] or the precise legal language required. Examples:
- As Trustee of the Smith Family Trust
- Executor of the Estate of John Doe
- Agent for Jane Doe under Power of Attorney
- Click the purple check mark to confirm the text.
- When the Signer opens the document, they will sign in the Signature Field, and the capacity designation will automatically appear next to it, clearly indicating their official role without lengthening the actual signature line.
