Follow these steps to successfully set up and submit your IPEN Notary Profile for approval within Stavvy.
π Step 1: Accessing Your Notary Profile Settings
- Log in to the platform at connect.stavvy.com.
- Click your Name in the top right corner and select Settings.
- Select the Notary tab. This will take you to the Notary Profile setup section.
Note: If you do not see the Notary tab, contact your organization's Admin. They can update your account permissions to enable it.
β Step 2: Gathering Required Documents and Information
Before you begin, ensure you have the following non-expired items ready:
- Non-expired, government-issued ID (e.g., passport, ID card, or driverβs license)
- Smartphone with a camera (for ID verification)
- Desktop or Laptop Computer with access to Stavvy
- IdenTrust X.509 Digital Certificate (purchased separately)
- Proof of RON Commission
- Notary Seal (or stamp image)
- State Commission Details (state, commission number, and expiration date)
π οΈ Step 3: Completing Your Profile Sections
Work through the following sections within your Notary Profile:
1. Notary Seal & Commission Details
- Certification Details: Select your commissioning State, enter your Commission Number, and the Expiration Date.

Notary Title: Select the Ipen option from the dropdown menu.
- Notary Seal: Upload an image of your notary seal (or stamp). Confirm that your name, commission number, and commission expiration date are clearly and correctly visible on the seal image.
2. ID Card (Credential Analysis)
- Complete the Credential Analysis step to verify your identity using your non-expired, government-issued ID and smartphone camera.
3. Signature
- Review and Verify that your electronic Signature is correct.
4. Digital Certificate
- Purchase: If you haven't already done so, you must purchase an IdenTrust X.509 Certificate.
- Upload: Upload the purchased Digital Certificate file.
5. Proof of RON Commission
This document verifies your status as a certified remote or electronic notary in your state.

Upload your Proof of Appointment.
- This is typically the confirmation email or letter provided by the Secretary of State (SOS).

Note:
- Training certificates are not acceptable for this step. Do not upload certificates from online training providers.
- If your state does not provide a verification notification, you may use a screenshot of the State website showing you are listed as a remote or electronic notary.
- Florida Notaries: Your traditional notary commission approval is acceptable as proof.
6. Exemplar Document
- Some states require you to notarize an Exemplar Document. If this tab is not visible, your state does not require it.

Step 4: Stavvy Approval Status
Once you submit your profile, the Stavvy Approval section will clearly display the status, including:
- Under Review: The profile is being reviewed by the Stavvy Customer Support team.
- Approved: Your profile has been successfully approved.
- Rejected: Your profile has been rejected and needs to be resubmitted (reasons for rejection will be provided).
- Expiration Warnings: Notifications if your State Commission or Digital Certification will be expiring in the next 30 days or if they have already expired.
