This procedure is used to adjust the placement of existing annotations (signature fields, notary stamps, text fields) after the following notarial signing sessions have been completed:
- Remote Online Notarization (RON) Meeting
- In-Person Electronic Notarization (IPEN) Meeting
The goal is to correct layout issues where annotations overlap, run off the page, or are incorrectly positioned, without requiring a full re-sign by the Notary and Signer.
🚨 Warning: E-Sign Packets
This process is NOT available for eSign Packets. If annotations are incorrect in an eSign Packet, you must create a new packet and resend it to the signers.

Editing a document after notarization can significantly impact its legal integrity and audit trail. Do not use this process to change document text or signer data. This is strictly for annotation layout corrections.
Prior to making any corrections, please consult your organization's internal legal or compliance team to confirm your policy for such post-execution corrections.
🛠️ Step-by-Step Correction Process
Part 1: Accessing the Document for Editing
- Locate the Completed Document
- Navigate to the Meeting Details page where the RON or IPEN signing session took place.
- Select Document View
- Locate the document that requires adjustment in the document list.
- Click the ellipses
...next to the document name, select View.
- Unlock for Editing
- Click the "Unlock for editing" button, located at the top right of the document viewer.
Part 2: Making Annotation Adjustments
- Adjust Annotations
- Click and drag the annotations (fields) that need correction.
- Ensure all fields are properly positioned within the page margins.
- Note: Do not delete any existing Signer signatures or notary stamps, as this will require a new meeting.
- Save Corrections
- Once all layout adjustments are complete, click the Mark ready to sign button to save and lock the corrected annotation placements.
Part 3: Finalizing the Corrected Document
- The corrected document is now saved, but it is not yet finalized.
- Contact our support team to re-finalize the document. The system requires a manual re-finalization step to ensure the corrected document layout is officially certified.
