Adding annotations ensures that all signers know exactly where to provide their information. Whether you are preparing a Meeting or an eSign packet, follow these steps to place signature fields, dates, and other essential tags.
Step-by-Step Instructions
- Open the Annotation Editor: Navigate to the Documents list within your Meeting or eSign packet.
- Select Your Document: Click the ellipses (three dots) to the right of the document name and select View and Annotate.
- Assign and Place Fields:
- Select the Signer from the Assigned To selector on the right panel.
- Drag the desired annotation(s) (Signature, Name, Date, etc.) onto the document.
- Manage Multiple Signers: If there are multiple parties, select the next Signer from the list and repeat the placement process.
- Finalize: Once all annotations have been added, click Mark Ready to Sign in the top-right corner.
Annotation Field Types
These are divided into general signer fields and notary-specific fields.
General Fields
- Full Name: Displays the signer’s typed-out printed name.
- Signature: Applies the signer’s unique typed, drawn, or uploaded signature.
- Initials: Adds the signer’s initials.
- Date: Automatically applies the date the signer completes their annotations.
- Text Field: Allows you to prompt the signer for specific information (e.g., a title or address). These can be toggled as Required or Optional.
- Checkbox: Adds a selectable box for making choices. These can also be marked Required or Optional.
Notary-Specific Fields
These fields pull information directly from the Notary Profile to ensure accuracy and compliance:
- Seal: Applies the notary's digital seal.
- Commission Number: Displays the notary’s active commission number, if applicable.
- Commission Expiration: Displays the expiration date of the notary’s commission.
- Commission State: Displays the notary's commissioned State.
- Commission County: Displays the notary's commissioned County, if applicable.
Note: Notary-specific fields will only be available if a Notary has been assigned to the meeting or packet.
